It can be a daunting place to some, sitting at the highly polished oval antique Board Table with the Quaker founders William and Sam Tuke’s portraits staring down at you - you can almost hear them speaking - at least we hope their spirit in the work we do is alive and well!

William: So what are these people doing in my Board Room Grandson?

Sam: I think this is one of their gatherings to determine how well they are caring for The Retreat guests, Grandfather.

William: So how are they faring with our legacy of pioneering moral treatment of patients

Sam - They call them service users, or members of the community and sometimes clients these days Father - and they are doing well. They are still in business after 200 years! They are getting national recognition for the standard of care given in many areas and they are still pioneering in that they are dealing with very challenging service users in need and investing in research.

William: Thats good but will what they are doing, stand the test of time and how do we know its effective?

Sam: Lets listen in and find out!

The Governance meeting! I chair this meeting once a quarter and the agenda is always full and challenging. So it should be, as it asks critical questions about what we are doing.

I won’t bore you with the detail but by listing the questions we asked and continue to answer you will get a sense of how we spent our time?

Do we know the risks to our service users and staff (and risks to our organisation as a whole) and are we doing everything we can to manage them appropriately?

Do we know why incidents occur and are we learning from these to prevent recurrence?

Is our organisation as safe as it can be from a Heath and Safety and Fire perspective?

Do we have accessible information, systems and procedures to handle any worse case scenario that could potentially damage the organization, eg loss of communication, technology, infection outbreak, loss of utilities etc?

Are our service users getting the right level of physical care as well as mental care?

Do our staff get sufficient support and training to use the IT appropriately to ensure all incidents, risks and safeguarding issues are logged?

How do we know that the care we give is the most effective possible - can we demonstrate clear outcomes and show that we are having a positive effect on the lives of those we care for?

What can we learn from the  results of the Friends and Family surveys and the Staff survey? How can we increase the level of engagement and communicate the importance of these surveys?

Can we agree on the 2014/15 annual Quality Account and how it presents itself as a public document?

How are we measuring up to Care Quality Commission Standards?

How is the patient record system transition plans progressing?

How can we increase the quality of learning throughout the organisation?

OK – enough, I hear you say!!!! Too right – two hours for that lot no way I overran by half an hour.I think we recognise that the agenda is as big as it would be for a an organisation 10 times our size - these issues still have to be addressed and we cannot compromise on Governance or Quality.

Many of the items will be escalated to the Board meeting in a few weeks time - now that is a marathon, usually takes a full day, Oh and of course we have the Annual General Meeting coming up soon with our Quaker membership, now this is one example of where we stand out from the rest - watch this space for further insights into another type of bus journey!
